Success for a Hampshire SME isn't just about a great product; it’s about mastering the "boring" essentials—VAT registration thresholds, PAYE registration, and choosing between a sole trader or limited company structure. Use the checklist below to ensure you’ve ticked every box before your first day of trading.
Define Your Business Structure: Decide between a Sole Trader, Partnership, or Limited Company. For many Winchester SMEs, a Limited Company offers better tax planning and liability protection.
Register with Companies House & HMRC: Ensure your company name is unique and register for Corporation Tax within three months of starting to trade.
Set Up a Business Bank Account: Keep your personal and business finances strictly separate to simplify your year-end accounting and digital record-keeping.
Apply for Necessary Licenses: Check with Winchester City Council if your specific industry requires local permits (especially for retail, food, or land-based businesses).
Evaluate VAT Registration: The current threshold is £90,000. However, voluntary registration can sometimes be beneficial for reclaiming input tax on startup costs. (Your accountant can help assist if this is 1) available to you and 2) beneficial for your trade.) Your accountant can also ensure that your invoices are compliant from a VAT point of view as this can 1) come across unprofessional for B2B transactions and 2) cause issues with your client relationships.
Select a Cloud Accounting Platform: Implement a Making Tax Digital (MTD) compliant system like Xero, Sage or QuickBooks early to automate your bookkeeping and bank feeds.
Appoint an ICAEW Chartered Accountant: Partner with a local expert to handle your Confirmation Statements, Annual Accounts, personal Self-Assessment filings and regular check-ins to ensure you’re on track and setting up your company correctly.
Protect Your Brand: Register your domain name (ideally a .co.uk) and consider trademarking your logo if you have long-term growth plans in the South East.
Register with ICO (Information Commissioner’s Office): if you’re handling client data which is likely to be the case. There’s different levels of thresholds which command certain levels of payment annually depending on your size.
Arrange Business Insurance: At a minimum, secure Public Liability and Professional Indemnity insurance. If you have employees, Employers' Liability insurance is a legal requirement although insurance brokers can help with setting this up.
Draft contract agreements: Be sure to have a solid starting point in relation to contracts which are pivotal to your business. It’s worth discussing with a legal expert for an initial template in order to make sure that the foundations are solid for your initial transactions.
Review Local Grant Opportunities: Explore the Hampshire Chamber of Commerce, Winchester City Council, King’s Trust (those up to 30 years old) or Enterprise M3 for startup grants and mentoring programs specific to the Winchester area.
